My AI Commander is a trading name of A Hive Mind Ltd, a company registered in England and Wales under company number 17118336. Our registered office is Park House, North Street, Horsham, West Sussex, United Kingdom, RH12 1RL.

We are the data controller for the personal data described on this page. You can reach us about anything in this policy through our contact form; choose "Privacy or data request" as the topic.

What we collect

When you book a call with us, we collect:

  • Your name and email address
  • Any notes you choose to add about what you would like to discuss
  • The date, time and time zone of the call you choose

When you ask for one of our free guides, we collect your email address and whether you have also chosen to receive occasional insights from us.

When you use our contact form, we collect your name, email address, contact number, company name, company website (if you give it), the topic you choose and your message.

Like any website, the services that deliver this site to your browser briefly process technical information such as your IP address and browser type, so the pages can load and the site stays secure.

How we use it and our legal basis

  • To arrange and hold your call: we send the invitation and the joining link, and we prepare for the conversation using your notes. Our legal basis is legitimate interests, in responding to a call you asked for.
  • To send the guide you asked for: our legal basis is legitimate interests, in sending you what you requested.
  • To send occasional insights: only if you tick the box to say yes. Our legal basis is your consent, and every email has an unsubscribe link.
  • To reply to a contact form message and follow up on an enquiry: our legal basis is legitimate interests, in answering a message you sent us. Where you make a privacy request, we also process it to meet our legal obligations.
  • To keep the site secure and working: our legal basis is legitimate interests.
  • To meet our legal and accounting duties if we go on to work together: our legal basis is legal obligation and, where a contract exists, the performance of that contract.

Decisions about you are always made by a person. We make no decisions about you based solely on automated processing.

Who we share it with

We share your data only with carefully chosen service providers who help us run the business, such as providers of website hosting, email, calendar and video-call services. They act on our instructions under written contracts and may use your data only to provide their service to us.

We may also share data when the law requires it, or with professional advisers such as our accountants and lawyers. We never sell or rent your personal data.

International transfers

Some of our service providers may process data outside the United Kingdom. Where they do, we make sure your data has the protection UK law requires, for example through UK adequacy regulations or the UK International Data Transfer Agreement.

How long we keep it

  • Enquiries, contact form messages and booked calls that do not lead to work together: up to 12 months after our last contact, then deleted. Records of privacy requests are kept for up to two years, so we can show how we handled them.
  • Guide requests and marketing preferences: until you unsubscribe or ask us to delete them. We keep a short record of an unsubscribe so we respect it.
  • Client records: for as long as UK law requires, usually six years after the end of the financial year in which work ends.

Your rights

Under UK data protection law, you have the right to:

  • Ask for a copy of the personal data we hold about you
  • Ask us to correct anything that is wrong or incomplete
  • Ask us to delete your data
  • Ask us to restrict how we use it, or object to our use of it
  • Ask for your data in a portable format
  • Withdraw your consent to marketing emails at any time

To use any of these rights, send us a request through our contact form and choose "Privacy or data request". If we already work with you, you can also ask your usual contact. We may ask you to confirm your identity, and we will reply within one month.

Complaints

If you have a concern about how we handle your data, please tell us first through our contact form and we will do our best to put it right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).

Security

We use appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, and we limit access to the people who need it.
